Firm configuration
The settings that define the firm’s terminology, people, case structures, and repeatable working patterns.
On this page
Before you start
- Administrative access.
- Agreement on the firm’s terminology and operating process.
Typical workflow
- 1
Define the case types and phases the firm uses to move work from intake through resolution.
- 2
Configure fields and layouts around the information each case type actually requires.
- 3
Prepare folder structures, document destinations, firm stamp artwork, templates, task workflows, communication choices, and billing behavior.
- 4
Test the configuration with a representative noncritical matter.
- 5
Manage later changes deliberately so active work and reporting remain understandable.
Firm profile and defaults
Authorized administrators maintain the firm’s display information, default values, communication identity, and enabled workspace options.
Case Types
Case Types administration brings together Sections, Phases, Vitals, Folder Structure, Marketing Sources, Lead Statuses, Message Templates, and Custom Fields so the matter workspace reflects the firm’s actual process.
Sections, layouts, and fields
Administrators can arrange section hierarchy, names, icons, descriptions, linked document folders, connected activity, and the fields shown inside the section. Test structural changes with an example matter before broad use.
Phases, vitals, sources, and statuses
Configured phases and subphases describe matter progress, while Vitals, Marketing Sources, and Lead Statuses standardize operational information used across intake, cases, filters, and reports.
Folder Structure
Folder templates can define hierarchy, dynamic naming, protected locations, and designated destinations for email, messaging, fax, billing, and signature work. Case-type Bates and exhibit artwork can be configured alongside the structure. Review folder and document-production behavior together.
Message Templates
Reusable email or text language and supported delayed automation rules can be connected to case or lead events. Confirm the trigger, delay, audience, content owner, and stopping conditions before enabling repeatable communication.
Task Workflows
Repeatable tasks can begin from supported case creation, phase change, or task-completion events. Configure assignment, timing, status, and ownership, then inspect run history after launch.
Users, roles, and team reassignment
User Management controls invitations, default roles, access level, module access, case restrictions, and activity visibility. Team Reassignment previews affected matters before replacing one team member with another across the selected scope.
Billing Setup
Available billing configuration can include rates, invoice presentation and firm details, payment application behavior, codes, email, and access. Approval responsibilities should be agreed before financial workflows begin.
Keep in mind
- Configuration should simplify the firm’s real process rather than reproduce every historical workaround.
